Workflow automation in Pipedrive has one invaluable advantage: you do not need developers. You can set up the five automations below in about an hour, and they take work off your team from day one.
1. A follow-up activity on stage change
A common reason for a lost deal is not a lost pitch – it is a follow-up that never happened. Attach an automatic activity to every pipeline stage: when a deal moves to "Proposal sent", a "Follow up" task is created three days out.
2. Owner assignment by region or product
New leads often land in a shared inbox and sit there. An automation that assigns by country, postcode or product interest cuts response time from hours to minutes – and response time is one of the strongest levers on win rate.
3. Deal creation from the contact form
Wire your web form up via web-to-lead and nobody has to retype enquiries. One thing matters: capture the source on arrival. Without a source field you cannot tell later which channel actually produced revenue.
4. A nudge for stalled deals
Define, per stage, how long a deal may sit there. When the limit is passed, the automation notifies the owner – and at double the limit, sales management. This replaces the weekly round of chasing in the team meeting.
5. A task after a won deal
Closing is the start of the customer relationship, not the end of it. An automation that creates an onboarding ticket and a handover meeting on "Won" prevents the classic gap between sales and delivery.
What not to automate
Do not automate anything that reaches the customer directly unless it genuinely fits – especially not automatic emails to leads who have only just enquired. The time saved is small; the damage to the relationship can be large.
